SETREM, a machine manufacturer in Acquigny, Normandy, entrusted D&S Intelligence with its requests for quote (RFQs) to suppliers. Here is what wasn't working, what we built, and what it changed.
The context
Every machine SETREM sells starts as a parts list in Excel. Some parts come from catalogs, others are custom-made from drawings, by laser cutting or machining. The purchasing team gets the prices and places the orders.
The problems
- The purchasing team went through every parts list line by line to find the part numbers.
- A request for quote written by hand for each supplier, then every reply keyed in again as a purchase order.
- For custom parts, every drawing had to be read by hand to prepare the request for quote.
- All told, one full day a week spent asking for prices.
The goals
- Send requests for quote without writing each one by hand.
- Stop re-entering supplier replies by hand.
- Get custom parts quoted without any AI model reading the drawings.
- Run the whole process from one place.
What we built
- Central purchasing hubA secure web interface where the team runs everything, from parts list to purchase order.
- Automatic requests for quoteThe Excel file is read as soon as it arrives, and the requests go out on their own to the suppliers of catalog parts.
- Custom parts, drawings read without AIOnly the specifications that matter are read from the drawing's title block, by a program and without AI: the technical file is never given to an AI model.
- Purchase orders generatedSupplier replies come back as ready-to-use internal orders. Zero re-keying, so zero data-entry errors.
The results
- The parts list is read as soon as it arrives, and each request for quote reaches the right suppliers on its own.
- Custom parts get quoted without any drawing going through an AI model.
- Internal purchase orders fill themselves in, without a single keystroke.
- The purchasing team runs the process. It no longer re-keys anything.
